Film Panel Guidelines

Committee Composition

The Film Panel Committee will consist of the Film Panel Chair, the Workshop Chair, and the selected Film Panel Moderator.

Committee Selection

  • Annual Scientific Meeting Workshop Chair - Selected by Annual Meeting Committee
  • Film Panel Chair - Selected by Annual Scientific Meeting Committee
  • Film Panel Moderator - Selected by the Film Panel Chair with input from Workshop Chair

Structure of Service

  • Annual Scientific Meeting Workshop Chair - 1 year term
  • Film Panel Chair - 3 year term with possibility for renewal for an additional 2 years
  • Moderator - 1 year term

Charge

To organize and implement the Film Panel Session at the Annual Scientific Meeting and insure the consistency and quality of this educational format. These responsibilities include

  1. Presentation of the Film Panel at Plenary Session of Annual Scientific Meeting
  2. Producing publications in JVIR: Unknowns and Answers Documents
  3. Producing publications on the SIR Web site: same as JVIR documents
  4. Producing poster presentations: for review at the meeting - same as JVIR documents
  5. Coordinating audience participation - grading of submissions and designation of awards

Responsibilities

Film Panel Chair

  1. Oversees and supervises the quality, consistency, and timeliness of the efforts of the Film Panel Committee.
  2. Works with the other committee members to select Film Panelists and Moderator-elects.
  3. Insures that the Moderator and Moderator-elect understand their responsibilities and the need to work with the JVIR and SIR staff to insure timeliness and quality of the necessary submissions.
  4. Provides 2 (of 8) cases for the Moderator to organize and submit to the Film Panel. Serves as the primary resource of advice for the Moderator.

Workshop Chair

  1. Works with the committee chairperson to insure that timelines for materials, posters, and publications are met.
  2. Facilitates and supports the efforts of the chairperson to integrate the Film Panel Session with the over-all Annual Scientific Meeting agenda.
  3. Makes recommendations to the Annual Scientific Meeting Committee on how to improve or change the Film Panel sessions to enhance the learning experience.
  4. Works with the Film Panel Chair, SIR staff members and JVIR Editorial assistants to insure timeliness and quality of materials.
  5. Submits a potential list of Moderator and Film Panelist candidates from the Annual Scientific Meeting to the Film Panel Chair to use as a potential recruitment list.

Moderator

  1. Works with film panel committee to select four film panelists.
  2. Acquires 8 suitable unknown cases (two of which to be contributed by the film panel chairperson).
  3. Distributes cases to film panelists in a timely manner
  4. Provides a PowerPoint template to each panelist
  5. Acquires each panelist’s case discussion and consolidate each contribution into a single power-point presentation to minimize technical problems.
  6. Is responsible for insuring that all manuscripts (unknowns and answers) are submitted in accordance with the JVIR deadlines and are of adequate quality.
  7. Coordinating and scheduling the Film Panel rehearsal with the SIR Annual Scientific Meeting Staff
  8. Oversees audience voting and participation awards.
  9. Moderates the Film Panel session at the Annual Scientific Meeting.
  1. The Moderator will be responsible for presenting the unknown cases announcing the correct diagnosis, and providing the appropriate discussion of each case.
  2. The Moderator will help to insure that the Panelists will discuss the pertinent findings, the differential diagnosis, the most likely diagnosis, and why, without a protracted discussion of the diagnosed entity—so as to insure minimal redundancy between the discussion of the Moderator and the Panelist.
  1. Responsible for meeting the following deadlines.
  1. Selection of panelists - August 1 (suggestions of AMC by June 1)
  2. Identification of cases - August 1
  3. Compilation and submission of Unknown manuscripts - Oct 1
  4. Compilation and submission of Answer manuscripts 1-4 - Dec 1
  5. Compilation and submission of Answer manuscripts 5-8 - Jan 1
  6. Distribution of Unknown cases - Nov 1 Conference call to panelists - early Jan

Film Panelists

  1. The current number of film panelists is 4.
  2. Each Film Panelist must commit to a PowerPoint presentation (non-negotiable) and be willing to meet the timelines as established by the Film Panel Committee and Annual Scientific Meeting Committee.
  3. Panelists must attend the rehearsal meeting the day before the plenary session event and at that time will submit a suitable electronic copy the PowerPoint presentations for their two cases.
  4. Film Panelists will only serve for one year.

Society Support

JVIR Editorial Staff

JVIR editorial staff will work with the Annual Film Panel Committee to insure that manuscripts of unknown cases and manuscripts of unknown case answers are created and submitted in a timely manner with a uniform format suitable for both poster presentation and publication in JVIR. Though the moderator will oversee this process, the editorial staff will:

  1. Contact case contributors
  2. Provide template for uniform structure for both unknown cases and unknown case answers, including length of manuscript and appropriate number of figures
  3. Communicate deadlines for the contributing authors
  4. Provide the film panel moderator and film panel chairperson with submitted manuscripts of unknown cases and unknown case answers.
  5. Edit the submitted manuscripts
  6. Produce posters for the annual meeting for both unknown cases and unknown case answers
  7. Provide timely publication of both cases and case answers in JVIR
  8. Posting both unknown cases and answers on the SIR website

Annual Meeting Staff

  1. Serve as an assistant to the moderator in contacting the film panelists, and provide support for the production of the Film Panel Session
  2. Provide digitized copies of the unknown cases to the panelists and moderator.
  3. Arrange and assist in the film panel rehearsal
  4. Provide computer and audiovisual technical support for the film panel session, so that individual panelist contributions can be combined into a single power-point presentation.
  5. The budget for the Film Panel session will be created and managed by the Director of Meetings and Education at the SIR home office. The budget will include the costs generated in order to create the posters, awards, and WEB site information. The Director of Meetings and Education will facilitate the efforts of the Film Panel Chairperson and the Moderator in the creation of the posters for the Film Panel session and provide guidance and assistance in budget-related issues.
